Zachry Room Scheduling

If the time of your event to be scheduled is:

  • Between 8 am - 5 pm, call the TAMU Registrar's Office (979-845-7117).
  • After 5 pm (or after regularly scheduled classes), follow the instructions below.

Room Scheduling Guidelines

The ESSAP office schedules rooms in the Zachry Engineering Center after regularly scheduled classes are finished for the day. Many classes end by 5:00 pm however, some classes do not end until after 8:00 pm. All Texas A&M University faculty/staff members and officially recognized student organizations can schedule evening meetings in Zachry, provided the meeting involves academic, university related business. Classrooms can NOT be used for private, personal, or profit-making meetings of any kind.

  • Use of all rooms, lobby and public areas in Zachry must be scheduled through the ESSAP office by calling 979-845-7200 or by sending email to <rooms@tamu.edu>
  • All room requests must include:
    1. requestor's name and phone number,
    2. event date,
    3. event start/end time,
    4. event description,
    5. estimated number of attendees
    6. email address and phone number and
    7. if a request is made by a student organization, you must list the official organization name and the name of organization's faculty advisor.
  • All events scheduled in Zachry must be academically related or sponsored by a recognized student organization. The Zachry Lobby will not be scheduled for the advertising and/or solicitation of non-academic functions.
  • Use of any A/V equipment in Zachry rooms must be scheduled through the Blocker Media Center by calling 979-845-0807.
  • Classrooms in Zachry are locked each evening at 7:00 pm and remain locked during the weekends and on holidays.

The Process

To schedule a room, you must call, visit or email the ESSAP office and submit information required to complete a room reservation card. Rooms are reserved on a first-come, first-served basis so it is wise to make requests as far in advance as possible, but at least one week before the event.

After a room has been scheduled for your meeting, you will receive a copy of the reservation card or an email confirming your request. You should take the reservation card or email with you to the meeting, because this is your confirmation of having scheduled the room. If you experience any scheduling problems, you should complete the bottom portion of the reservation card and return it to the ESSAP office.
